This Safeguarding Form allows anyone to confidentially report concerns, incidents, or observations related to the safety and protection of individuals within our venue or events. Your input helps us ensure a safe, inclusive and respectful environment for everyone

Confidentiality, Disclosure and Safeguarding Outcomes

Safeguarding information is confidential. We do not disclose private or confidential information contained within safeguarding reports to other members, attendees, friends, partners or other third parties. This includes information about who has made a report, what they have told us, or information that could identify them indirectly.

Safeguarding concerns should, wherever possible, be reported by the person directly involved in or affected by the incident. We cannot investigate concerns based solely on assumptions, hearsay or reports made on behalf of another person where the person directly involved has not themselves come forward. Where possible, reports should include clear and relevant information or supporting evidence so that we can properly assess the concern.

The safeguarding process must not be used as a means of pursuing personal disputes, relationship breakdowns, revenge, retaliation or attempts to obtain a particular outcome against another person. Club Love is not a mediator for relationship disputes and we are not here to adjudicate breakups, disagreements, personal grievances or conflicts that do not constitute a safeguarding concern. We will also not allow the safeguarding process to be deliberately or repeatedly misused to target another person, settle a personal score or attempt to have someone removed from our spaces without a legitimate safeguarding basis.

This does not mean that a safeguarding concern arising from a relationship, friendship or other personal connection will be disregarded. We will consider the nature of the concern itself and make our assessment based on the information available to us, rather than becoming involved in the wider personal circumstances or taking sides in a dispute.

We take all safeguarding concerns seriously. However, our ability to investigate or take action may be limited where an incident is historical, occurred outside Club Love events or premises, or involves circumstances that we are unable to independently verify. This does not mean that such information is disregarded. It means that we have to consider what we can reasonably establish, what information is available to us, and what action falls within our responsibility as an event.

Our safeguarding decisions are considered carefully and are never made lightly. We make decisions based on the information available to us, our responsibility to safeguard the wider Club Love community, and what we believe is the most appropriate course of action in the circumstances. The safety and wellbeing of the wider community will always be a central consideration.

We may not disclose the specific action or outcome taken following a report. In some circumstances, explaining exactly what action we have taken could identify the person who reported an incident, expose information about their circumstances, or otherwise compromise their privacy or safety. Protecting the person who came forward is likely to take priority over providing others with an explanation of the outcome.

Our safeguarding decisions will not always make everyone happy. We understand that people may disagree with an outcome or feel that a different action should have been taken. Our responsibility is not to reach an outcome that satisfies everyone involved. Our responsibility is to consider the information available to us and make the decision we believe is appropriate for the safety and wellbeing of the wider Club Love community.

Safeguarding outcomes must be respected. We will listen to relevant concerns and review new or materially relevant information that is properly brought to our attention, but we will not disclose confidential case information or enter into ongoing debate about individual safeguarding decisions with people who were not directly involved. Once an outcome has been reached, we expect that decision to be respected.
